Curlew Academy is a small platform where people teach each other. This page says what we keep, who can see it, and how to get it back out. It is here to be read, not agreed to.

What we keep

Your account — the email address you sign in with, your name, your points balance, and a record of every top-up, class payment and refund. That record is a ledger: it is added to and never edited, because it has to add up.

The people you sign up — for each child on your account, the name their teacher will call them, a mailbox of their own if you gave one, and the note you wrote for their teacher.

Their classes — what they joined, which sessions they were marked present at, and what was paid for each.

We do not ask for a date of birth, an age, an address, a school or a photograph. There is nowhere in this product to put one.

We run no advertising, no tracking pixels and no analytics of any kind. We do not sell anything about you, and nothing here is used to advertise to you.

Who can see it

A teacher sees the names of the people in their own classes, the note you wrote for them, and whether each session has been paid for. They do not see your balance, and they see nothing about your other teachers.

The person who runs Curlew Academy can see accounts, learners and payments — that is what running it means.

Nobody else.

Where it goes outside Curlew

Four services do work we cannot do ourselves, so some data reaches them:

Google Calendar — every paid session becomes a calendar event with a Meet link, and the people coming are invited by email. If you gave a child their own mailbox, the invitation goes to their address. A lesson with a single learner carries their name on the event; a group class deliberately does not, so a class list is never published to everyone invited.
Resend — delivers the letters about classes and about money. Only the address being written to, and what the letter says.
Stripe — only if you top up by card, and only the account paying. Nothing about a child ever reaches Stripe.
Sentry — tells us when a page breaks. It is deliberately set up to record no session replays and no page contents, because this product's subject is children's names.

Our database and our backups are both stored in the United States.

Children

A child has no login here and cannot be given one. Everything about them is entered by the account that pays for them, and only that account can change it — that account is how a parent stays in the middle of it.

Giving a child a mailbox of their own is your decision, and you can undo it whenever you like by clearing the field. With one set, their calendar invitation and the messages about their classes go to them; every letter about money still comes to you. Whether your child may hold that address at all is yours to judge — we can't check it from here, and we don't try.

The note is free text their teacher reads. Write what helps them teach. There is no reason to put anything sensitive in it, and no part of this product asks you to.

If you would rather we held nothing about a child, remove them — that is the next section, and it does what it says.

Removing someone, and how long we keep things

"Who's learning" carries a Remove on every child. It deletes their name, their mailbox and their note from our database at that moment — not on a schedule, and not marked-hidden-but-still-there.

What stays is that a seat was bought: the enrolment, the sessions and the ledger rows, now with no name on them. Those we cannot delete — they are this account's own money record, and it has to keep adding up. A teacher's past class list will show that someone was there, and no longer who.

A child still in a class can't be removed yet. Leave the class first, so the seat and any refund are settled on purpose rather than as a side effect of tidying a list.

We take one backup a day and keep thirty of them. A backup made before someone was removed still holds their details until it rolls off, which takes at most thirty days.

To close an account altogether, write to us and we will do it by hand.

Our letters are sent from a no-reply address, so replying to one reaches nobody. Use the address above.
